Secretariat

Secretariat is considered  one of the most important jobs which assist the director of the Public Services Administration in managing and fulfilling its work quickly , using the least time and effort, to achieve the administration objectives. Hence, they receive, record, arrange and organize data; then they provide the clients with the necessary information.

 

Secretary Duties Include:

v     

Receiving and dealing with incoming and out coming phone calls of the Public Services Administration Director

 
v      Preparing a list of the incoming phone calls when the director is not available.  
v      Receiving visitors and arranging meetings.  
v      Preparing a list of the visitors and the employees who should come when the director is not available.  
v      Preparing and organizing the director’s meetings, taking the minutes and then keeping them.  
v      Keeping and organizing all the paper work of the director in secretary files.  
v      Communicating with the director to keep her updated of major events.  
v      Receiving confidential mail and writing it down in records to be seen by the director.
